While you were at work
One statement, handled end to end.
A managing agent sends the June statement, plus two invoices paid on the owner’s behalf. Here’s how it runs, frame by frame — real frames of the product working a demo portfolio.
Arrived — and read
A June statement lands. It reads everything.
The agent’s statement and two paid invoices land with the manager. It reads all three, checks the ledger for what’s already recorded, and writes out exactly what it’s about to propose — the reasoning, not just the result.

The ask, the reading, the reasoning — written out.
Its own checklist, ticking as it works. Waiting on you — one tap
Five missing lines, proposed — not filed.
Two rent receipts, the management and admin fees, and a $438.90 plumbing repair — each categorised and GST-noted, totalled, and held as one card. It sits there until you tap Approve. Edit any line first, or throw it back.

The approval card — Approve, Edit or View before anything commits. Approved
One tap later, the books are up to date.
You approve; it commits. All five transactions recorded against the property, the statement and invoices filed where you can actually find them — and the manager confirms it in writing.

Committed — and confirmed in writing. And the line it didn’t touch
It refuses to double-book.
The water charge on the statement was already in the ledger — so the manager skipped it, and said so. It reconciles against your books before it proposes, which means approving never means double-counting.

Caught before it hit the books twice.

The standing jobs
“Bookkeeper” undersells it.
These are the jobs your manager holds — every week, across every property. Every outbound send and every entry still waits for your approval.
Catches loan changes.
A lender moves your rate or repayment — the manager sees it in the feed and updates the books, or asks if it’s ambiguous.
Forecasts before you buy.
Growth, 30-year cash flow and feasibility studies on the next property, not just the last one.
Gets insurance quotes.
Asks insurers for quotes on your behalf. Every outbound email waits for your approval.
Replies to your agent.
Drafts the response to the property manager. Nothing sends until you say so.
Files every document.
Statements, notices, leases and certificates — against the right property and the right entity.
Keeps ATO-coded books.
Every dollar categorised to the rental-schedule item your accountant actually needs.
Chases the bills.
Watches due dates, flags overdue accounts, and won’t let a water bill quietly slide.
Tracks the whole position.
Value, debt, equity and cash flow — live, across every property and entity.
Reads the strata minutes.
Levies reconciled against the ledger, minutes filed where you can actually find them.
Updates your address.
Councils, insurers, utilities — it writes the letters; you approve the sends.
Watches your streets.
Comparable sales near your properties, researched and reported in.
Runs your routines.
Rent watch, bills due this week, expiring leases and insurance — on a schedule you set.
The rule it can’t break
Nothing hits your books until you tap Approve. Ever.
The manager proposes; you decide. Every transaction, every filed document, every outbound email arrives as a card you can edit, approve or refuse. There’s no back door.
TRANSACTIONS · DOCUMENTS · EMAIL REPLIES — ALL APPROVAL-GATED · LOAN CHANGES REPORTED
The whole position
Eight properties. One manager.

Fair questions
Before you hand anything over.
What if it gets something wrong?
It proposes; you approve. Every card can be edited inline before it commits, and when the manager isn’t sure, it asks instead of guessing.
Does it ever act without me?
No. Transactions, filed documents and outbound emails are all approval-gated. It’s structural, not a setting.
Do I still need my accountant?
Yes — and they’ll like you more. They get an EOFY working paper aligned to the ATO’s 2025–26 rental schedule instead of a shoebox.
Is my data safe?
Bank and loan connections run through CDR-accredited open banking, and your data is never sold.
From the founder
We built the manager we needed.
The team behind PropBoss are property investors — houses and units across trusts, companies and personal names. For years we were our own portfolio managers: Sunday nights, a spreadsheet, an inbox full of statements, and an accountant who deserved better.
We built PropBoss to do that job the way a fund would — a manager that reads everything, books everything, and asks before it touches a thing. Our own portfolios ran on it first.
The screens on this page are the real product, photographed at work on a demo portfolio — because our books are our business, and yours are yours.
